Booking and Scheduling Engines

Availability, rules and reservations that hold under concurrency, with the buffers, resources and cancellation policies your business actually uses.

Overview

What the system does

A booking engine turns an availability model into a reservation. Everything interesting is in the model: who or what is being booked, what else it needs, how long it takes, and what must not happen at the same time.

Simple calendar tools break on the details. A treatment room and a practitioner both have to be free. A tour has a minimum and a maximum. A class has a waitlist. A rental has a turnaround window between guests.

We build the rules explicitly and make the reservation safe under concurrency, which is the part that decides whether you ever double book.

Who needs this

Businesses allocating staff, rooms, equipment or departure capacity against customer reservations.

What we build

Availability is the intersection of resources, duration, buffers and business rules. Temporary holds need expiry. Time zones, daylight-saving changes, cancellations and staff absence are test cases, not edge details to add after launch.

Modules

Core modules

01

Availability model

Working hours, exceptions, holidays, seasonal patterns and blackout dates, per person, resource or location.

02

Resource composition

A booking can require several resources at once: staff member, room, equipment and vehicle. Availability is the intersection, not the union.

03

Duration and buffers

Service duration, setup and cleanup buffers, travel allowance between addresses, and padding that does not appear as bookable time.

04

Booking rules

Lead time, cutoff, maximum advance, minimum and maximum party size, deposits required, and eligibility by customer type.

05

Concurrency safety

Reservation inside a database transaction with the right isolation and constraints, so two people clicking the last slot cannot both get it.

06

Waitlists and capacity

Group capacity with a waitlist, automatic promotion when a place opens, and a hold window for the promoted booking.

07

Cancellation and rescheduling

Policy windows, fees, self serve rescheduling within limits, and no show handling.

08

Payments

Deposits, full prepayment or card on file through a processor, with the booking state tied to the payment state.

09

Notifications

Confirmation, reminders at defined offsets, change notices and follow up, with quiet hours and suppression.

10

Calendar sync

Two way sync with staff calendars so external commitments block availability.

Architecture

How it fits together

A typical implementation flow, with explicit responsibilities at each boundary.

Integrations
  • Calendar providers for two way sync
  • Payment processors for deposits and prepayment
  • Transactional email and messaging providers
  • Mapping services for travel time
  • CRM and customer records
  • Conferencing tools for virtual appointments
  1. 01

    Offer

Compute eligible slots from resource calendars and booking constraints.

  2. 02

    Reserve

Create an expiring hold and confirm it transactionally.

  3. 03

    Maintain

Apply changes, cancellation rules and notifications against the confirmed reservation.

Security and controls

Design for the exceptions, not just the happy path.

Prevent customers from editing another booking by changing an identifier. Rate-limit availability and reservation endpoints, expire holds and keep sensitive notes out of confirmation messages.

Technology options

We select the final stack after reviewing your existing systems and operating requirements.

FAQ

Questions people actually ask

How do you prevent double booking?

The reservation is created inside a database transaction that takes a lock on the resource and checks an exclusion constraint on overlapping intervals. Two simultaneous attempts cannot both succeed, and the loser gets a clear message rather than a silent failure.

Can a booking need more than one resource?

Yes. A slot is available only when every required resource is free, and the hold covers all of them together so you cannot secure the room and lose the practitioner.

Do you support waitlists?

Yes, with automatic promotion when a place opens and a hold window for the promoted customer to confirm before the place moves on.

How are deposits handled?

A hold is taken first, then payment. If payment does not complete inside the hold window the slot is released automatically, so an abandoned checkout does not block the calendar.

Can staff block time from their own calendar?

Yes, through two way sync. An external commitment blocks the slot, and a booking appears on their calendar.

What about travel time between appointments?

Travel is modelled as a buffer derived from the addresses, so a mobile service does not get booked in two places twenty minutes apart.

Let’s talk about the system you need.

Tell us where the current process breaks down. We can map the workflow, examine the integration requirements and define a practical scope for the build.

  • A mutual NDA is signed before project details are shared.
  • Scope is fixed in writing before any build starts.
  • You own the source code, the IP and the documentation at delivery.
  • Support plans are available and tailored on a discovery or technical call.
