Software for Fitness, Gyms and Sports Performance

Memberships, classes and coaching each break differently. We build systems that hold all three.

Operations

Operational problems to solve

Common situations to examine during discovery with the people who do the work.

  • Failed payments are found weeks later.

A card expires, the renewal fails, and nobody notices until a member has trained free for a month or been locked out while paid up.

  • Class booking is a spreadsheet and a group chat.

Capacity, waitlists and late cancellations are managed by hand, so classes run under capacity while people are turned away.

  • Programmes are written in documents and sent by message.

Coaches build training in spreadsheets, send them as files, and have no view of whether anything was completed.

  • We cannot tell who is about to quit.

Attendance drops for three weeks before a cancellation, and nothing surfaces that pattern while it can still be acted on.

  • Technique feedback depends on someone watching.

Video is filmed and never reviewed, because there is no tool that makes the comparison quick enough to be part of a session.

  • Online and in person members live in different systems.

A person who trains at the gym and follows an online programme exists twice, with two payment relationships.

Software capabilities

Connect coaching, membership and training records

01

Programs a coach can actually manage

Represent exercises, sessions, training blocks and substitutions as structured data. A coach can review adherence without reading an entire message history. AI-generated suggestions should remain editable and distinguish a proposed program from a published one.

02

Membership and session access

Join payment events to membership entitlements, class capacity and booking rules. Handle cancellations, pauses and failed renewals explicitly. Billing state and access should reconcile when a delayed webhook arrives.

03

Performance review

Link training entries, personal records and video review to the athlete. Bar-path tracking and skeleton replay support coach interpretation; capture conditions and analysis limitations remain visible rather than becoming unsupported accuracy claims.

Integration

Systems we connect to

Identify the system of record, available interfaces and vendor access before defining the integration scope.

Systems integrated in Fitness and Sports
Membership billingPlans, renewals, dunning and entitlement derived from payment state, so access always matches what has been paid.
Class and session bookingCapacity, waitlists with automatic promotion, late cancellation policy and no show handling.
Programme deliveryTraining plans delivered in an app with logging, so completion and load are visible to the coach.
Access controlDoor and check in systems driven by current entitlement rather than a list exported last month.
Video analysisMovement captured and measured, with overlays and side by side comparison for technique work.
Retention reportingAttendance trends, at risk flags and cohort retention, computed from behaviour rather than guessed.

Security and implementation

Access rules belong in the architecture.

Separate coach, athlete and organization access. Training records and videos need limited sharing and clear retention. These systems support fitness operations and do not provide diagnosis or medical treatment.

Security, confidentiality and IP ownership

Relevant technology choices

The final stack depends on existing systems, device requirements and data access.

Your team

Who you actually work with

Every engagement has a dedicated project manager and a team lead with years of industry experience. Onshore and offshore engineering teams are both available, and the mix is agreed with you.

FAQ

Fitness and Sports questions

Can access be tied to payment status automatically?

Yes. Entitlement is derived from subscription state, so a failed renewal moves the member into your chosen grace policy and the door system reflects it without a manual list.

Does it handle class waitlists?

Yes, with automatic promotion when a place opens and a hold window for the promoted member to confirm.

Can coaches deliver programmes through an app?

Yes, with logging by the athlete so the coach sees completion and load rather than assuming it.

Can we spot members who are about to cancel?

An attendance decline can raise a flag for a team member to review and decide whether contact would help. We build reporting from the available records without promising a prediction rate.

Is video analysis practical during a session?

For short clips, yes. Capture and analysis can run on device, which removes the upload wait that otherwise makes it a post session activity.

Can one system serve both gym members and online clients?

Yes, with one person record, one payment relationship and different entitlements, which is much better than two systems that disagree.

Let’s talk about the system you need.

Tell us where the current process breaks down. We can map the workflow, examine the integration requirements and define a practical scope for the build.

  • A mutual NDA is signed before project details are shared.
  • Scope is fixed in writing before any build starts.
  • You own the source code, the IP and the documentation at delivery.
  • Support plans are available and tailored on a discovery or technical call.
