Software for Automotive Dealerships and Auto Services

Sales and service run on different clocks and the same customer. We build the systems that connect them to the DMS.

Operations

Operational problems to solve

Common situations to examine during discovery with the people who do the work.

  • Internet leads sit for two hours before anyone replies.

Leads arrive from the website, marketplaces and manufacturer feeds into different inboxes, and the first response time decides the sale.

  • The website says a vehicle is available and it sold yesterday.

Inventory is exported on a schedule, so the site and the DMS disagree for hours at a time.

  • Service customers phone to ask where their car is.

The status is on a whiteboard in the shop. Nothing pushes it to the customer, so advisors spend the afternoon answering the same question.

  • New salespeople take months to get good.

Product knowledge, objection handling and competitive positioning are learned by watching, so ramp time is long and inconsistent.

  • Service and sales never talk.

A customer in the service lane with an ageing vehicle is an obvious sales conversation, and nothing surfaces it.

  • Appointments booked online do not reach the scheduler.

Online service booking creates a request someone rekeys into the DMS, with no shared validation of the advisor, lane or appointment slot.

Software capabilities

Software for the sales floor and the service lane

01

Vehicle inventory and lead routing

Use VINs and stock identifiers to reconcile inventory feeds, acquisition records and CRM enquiries. Route a lead with its vehicle context and ownership history. OEM, CARFAX or AutoCheck connections depend on licensed data access and the provider’s available interface.

02

Repair orders and technician dispatch

Connect service booking to an RO workflow: customer concern, inspection, approval, assigned technician, labor-time entries and completion. Make parts availability visible before committing a bay or promising a collection time.

03

DMS and accounting boundaries

Map customer, vehicle, RO and parts identifiers to the DMS instead of creating competing records. Reconcile updates and failed syncs by location. Customer messaging, service reminders, warranty evidence and processor-managed payments can follow approved RO events. Financing and lending are outside this scope.

Integration

Systems we connect to

Identify the system of record, available interfaces and vendor access before defining the integration scope.

Systems integrated in Automotive
DMS, dealer management systemThe system of record for inventory, customers, deals, repair orders and parts. Everything else reads from it and writes back only where you approve.
Dealership CRMLead capture, response time enforcement, follow up sequences and desking support, aligned with the DMS customer record.
Service lane schedulingOnline and in store booking against advisor, lane and operation availability, written into the DMS scheduler.
Inventory feedsOne normalised inventory source driving the website, marketplaces and merchandising, refreshed as often as the DMS allows.
Repair order statusStatus and estimate approval pushed to the customer, which removes the calls and speeds authorisation.
Sales enablementProduct knowledge, objection handling drills and competitive positioning delivered as a tool the floor actually uses.

Security and implementation

Access rules belong in the architecture.

DMS access must use approved vendor credentials and permissions. Restrict customer and vehicle history by role and location, log administrative changes, and keep card data in processor-managed interfaces.

Security, confidentiality and IP ownership

Relevant technology choices

The final stack depends on existing systems, device requirements and data access.

FAQ

Automotive questions

Do you work with financing or lending?

No. We work on sales, CRM, service lane and inventory operations. Financing and lending are out of scope.

Which dealer management systems can you integrate with?

Any platform that exposes a usable interface, whether an API, a certified feed or a supported export. The first step is confirming what your contract entitles you to and what the vendor will enable.

How fresh can website inventory be?

As fresh as the DMS interface allows. Where change events are available we react to them, otherwise we poll incrementally and set the interval from your listing needs.

Can customers approve service work from their phone?

Yes, where the DMS supports estimate approval. The status and the estimate reach the customer, and the recorded approval writes back.

Can you surface service customers as sales opportunities?

Yes. Vehicle age, mileage and service history are exactly the signals that identify a conversation worth having, and they can flow into the CRM as tasks.

Will this interfere with our manufacturer requirements?

We build around them. Required tools and feeds stay in place, and the integration respects what your manufacturer programme mandates.

Let’s talk about the system you need.

Tell us where the current process breaks down. We can map the workflow, examine the integration requirements and define a practical scope for the build.

  • A mutual NDA is signed before project details are shared.
  • Scope is fixed in writing before any build starts.
  • You own the source code, the IP and the documentation at delivery.
  • Support plans are available and tailored on a discovery or technical call.
