Software for Real Estate and Property Management

We build the operational and marketing systems around property. Escrow and transaction handling are out of scope.

Operations

Operational problems to solve

Common situations to examine during discovery with the people who do the work.

  • Enquiries arrive in four places and get answered in one.

Portal leads, the website form, the phone and social messages all land separately, and response time decides who wins the instruction.

  • Maintenance requests turn into a chain of phone calls.

A tenant reports a fault, a manager calls contractors, an owner needs approval over a threshold, and none of it is recorded in one place.

  • Owner statements take a week to produce.

Income, expenses and management fees are assembled by hand from several systems every month.

  • Listings are updated three times in three systems.

The website, the portals and the internal system each hold a copy, and they disagree about price and availability.

  • Compliance dates are tracked on a spreadsheet.

Safety certificates, inspections and licence renewals have hard deadlines and soft reminders, which is the wrong way round.

  • Viewings are booked by phone tag.

Coordinating an applicant, a tenant and an agent takes three calls, and half the slots offered are already gone.

Software capabilities

A property record that joins leasing and maintenance

01

Listing and enquiry synchronization

Map listing identifiers, unit availability and enquiry sources between the website, CRM and PMS. Deduplicate enquiries without merging different household members. Preserve consent and the assigned agent when routing a lead.

02

Maintenance from request to resolution

Let tenants submit a property-specific issue with photos. Triage urgency, obtain access permission, assign a contractor and record completion evidence. Keep tenant-facing updates separate from internal supplier notes.

03

Portfolio reporting

Report open work, vacancy data and operational follow-ups across properties using consistent definitions. Scope covers operations and marketing, not escrow, conveyancing or transaction handling.

Integration

Systems we connect to

Identify the system of record, available interfaces and vendor access before defining the integration scope.

Systems integrated in Real Estate and Property
PMS, property management systemThe system holding properties, tenancies, owners and ledgers. We integrate with it and build the workflow around it.
Portal feedsListing distribution to property portals from one source, so price and availability cannot disagree between channels.
Maintenance workflowTenant report, triage, contractor assignment, owner approval above a threshold, completion evidence and invoice, in one record.
Owner portalStatements, documents, maintenance history and approvals, which removes most of the monthly phone calls.
Tenant portalMaintenance reporting with photos, documents, payment status and communication history.
Compliance registerCertificates and inspections per property with expiry dates, automatic reminders and evidence storage.

Security and implementation

Access rules belong in the architecture.

Separate tenant, contractor, property-manager and owner views. Control document downloads and signed access links. Minimize identity documents and define deletion rules with the client’s privacy requirements.

Security, confidentiality and IP ownership

Relevant technology choices

The final stack depends on existing systems, device requirements and data access.

FAQ

Real Estate and Property questions

Do you handle escrow or transaction processing?

No. We build operational and marketing software. Escrow, trust accounting and transaction processing are outside what we take on.

Can it work alongside our property management system?

Yes. The property management system stays the record for tenancies and ledgers, and we build the workflow, portals and marketing around it.

Can maintenance approvals be automated by threshold?

Yes. Work below an agreed value proceeds, work above it routes to the owner for a recorded approval, and the threshold is set per owner or per property.

How do listings stay consistent across channels?

One source of truth feeds the website and the portal feeds, so a price change happens in one place and propagates.

Can applicants book viewings themselves?

Yes, against real agent and property availability, including the access constraints of an occupied property.

Does it track compliance dates?

Yes, per property, with reminders raised well before expiry and the certificate stored against the record.

Let’s talk about the system you need.

Tell us where the current process breaks down. We can map the workflow, examine the integration requirements and define a practical scope for the build.

  • A mutual NDA is signed before project details are shared.
  • Scope is fixed in writing before any build starts.
  • You own the source code, the IP and the documentation at delivery.
  • Support plans are available and tailored on a discovery or technical call.
