The context

The business behind the brief

An anonymous B2B services client needed its website lead funnel and quote forms connected to CRM operations. The delivered engagement joined intake, CRM API ingestion, automations and transactional communication.

The client's name is not disclosed. The tools include Resend for transactional email and n8n for orchestration.

The challenge

What the system needed to solve

  • 01

Move website quote requests into the CRM through a validated API ingestion path.

  • 02

Address duplicate submissions, webhook delivery failures and retry behavior across system boundaries.

  • 03

Connect CRM pipeline and AI automations with n8n orchestration and Resend notifications.

The solution

From requirements to working software

Delivered functionality and implementation boundaries.

01

Receive and validate intake

The website funnel and quote forms are the entry points. Server validation belongs at the ingestion boundary because browser checks can be bypassed. Expected fields, allowed values and bounded descriptions establish what can enter the CRM workflow. Rejected input needs a useful response without exposing internal errors.

02

Deliver into the CRM

CRM API ingestion connects the website payload to operational records. Deduplication distinguishes a repeated submission from a new enquiry. Retries require a stable reference so an uncertain response does not become an accidental duplicate record. A matching decision should not silently combine unrelated contacts.

03

Trigger the pipeline

CRM pipeline automations continue the workflow after ingestion. Webhooks connect state changes to downstream actions. Verification, duplicate handling and explicit event interpretation are key architecture concerns: a delivered message and a completed business action are not interchangeable facts.

04

Use AI within the workflow

AI automations operate inside the CRM rather than as a disconnected chat page. Their operational context is the CRM pipeline: the record, its stage and the next piece of work. Keeping that context visible is important when people review automation output.

05

Coordinate notifications and recovery

n8n orchestrates workflows and Resend sends transactional email. A notification belongs to a specific pipeline event so operators can connect the message with the underlying enquiry. Delivery handling needs to distinguish invalid data from temporary provider failure and identify when a retry or human review is required.

Core functionality

What the product lets people do

  • Website lead funnel
  • Quote forms
  • CRM API ingestion
  • CRM pipeline automations
  • AI automations inside the CRM
  • Resend transactional email
  • n8n orchestration

Technical implementation

Architecture and system boundaries

Website quote forms feed a server-validated CRM ingestion boundary. Deduplication and stable request references support retry handling. CRM pipeline and AI automations operate on accepted records; n8n coordinates workflows and Resend supplies transactional email. Webhook verification, retry visibility and operator notifications form the integration boundary.

Business impact

The delivered outcome

  • Website enquiries feed CRM operations
  • Pipeline and AI automations are connected to the intake workflow
  • Transactional communication and orchestration are part of the delivered system

Let’s talk about the system you need.

Tell us where the current process breaks down. We can map the workflow, examine the integration requirements and define a practical scope for the build.

  • A mutual NDA is signed before project details are shared.
  • Scope is fixed in writing before any build starts.
  • You own the source code, the IP and the documentation at delivery.
  • Support plans are available and tailored on a discovery or technical call.
