Software for Travel and Tour Operators

Departures, capacity and itineraries change constantly. We build booking systems that keep up.

Operations

Operational problems to solve

Common situations to examine during discovery with the people who do the work.

  • Capacity is managed in a spreadsheet per departure.

Minimum numbers, maximum numbers, guide availability and vehicle seats all constrain a departure, and one file holds all of it.

  • A cancelled departure means forty manual emails.

Changes to a date, a guide or an itinerary have to reach everyone booked, and it is done by hand under time pressure.

  • Multi day itineraries are built in a document.

Each traveller gets a document assembled by copy and paste, and a change to day three means rebuilding all of them.

  • Deposits and balances are chased from a diary.

Balance due dates are tracked manually, so payments are chased late or not at all.

  • Supplier confirmations live in an inbox.

Accommodation, transport and activity bookings are confirmed by email with no structured record against the departure.

  • Seasonal pricing is applied by memory.

Rates vary by season, group size and departure, and the person quoting has to remember which rule applies.

Software capabilities

Departure capacity, itineraries and booking changes

01

Book against real departure capacity

Model departure dates, guide capacity, transport places and participant requirements. Hold inventory during confirmation and expire abandoned holds. A sold-out departure should not remain bookable because a cache has not refreshed.

02

One itinerary, controlled revisions

Version itinerary changes and notify affected bookings. Keep meeting points, supplier instructions and participant-facing information separate. Staff need to know which itinerary version was sent before answering a question.

03

Deposits and operational handover

Track deposits, outstanding balances and cancellation decisions with processor events. Generate guide manifests from confirmed bookings. This scope covers direct bookings and tour operations, not GDS or airline ticketing infrastructure.

Integration

Systems we connect to

Identify the system of record, available interfaces and vendor access before defining the integration scope.

Security and implementation

Access rules belong in the architecture.

Collect only participant information required for the trip and restrict exported manifests. Define retention for identity or travel documents. Make sharing with a guide or supplier an explicit, auditable action.

Security, confidentiality and IP ownership

Relevant technology choices

The final stack depends on existing systems, device requirements and data access.

FAQ

Travel and Tours questions

Do you integrate with a GDS?

No. Global distribution system integration is outside what we take on. We build direct booking, itinerary and operations software.

Can departures be held until minimum numbers are met?

Yes. A departure has a status driving what the website offers, and bookings can be taken as provisional until the minimum is reached, with a defined decision date.

How are itinerary changes handled?

Itineraries are built from components, so changing a day updates every affected traveller document and can trigger a notification automatically.

Can we take a deposit now and the balance later?

Yes, with a payment schedule per booking, automatic reminders, and a policy for what happens when a balance is late.

Can travellers complete forms before departure?

Yes, through the portal, with required forms tracked per traveller so you can see who is outstanding.

Does it handle group bookings?

Yes, with a lead booker, individual traveller records, per person requirements and a single payment schedule.

Let’s talk about the system you need.

Tell us where the current process breaks down. We can map the workflow, examine the integration requirements and define a practical scope for the build.

  • A mutual NDA is signed before project details are shared.
  • Scope is fixed in writing before any build starts.
  • You own the source code, the IP and the documentation at delivery.
  • Support plans are available and tailored on a discovery or technical call.
