Software for Beauty, Salons and Spas

A booking needs the right person, the right room and the right chair. We build systems that understand all three.

Operations

Operational problems to solve

Common situations to examine during discovery with the people who do the work.

  • Online booking puts two clients in one room.

Most booking tools schedule a person. A treatment needs a practitioner, a room and sometimes equipment at the same time, and availability is the intersection.

  • No shows cost us a day a week.

Without deposits, reminders and a recorded cancellation policy, empty chairs are absorbed rather than prevented.

  • Client notes live in a paper card file.

Formulas, patch tests, preferences and allergies are on cards, so any stylist covering for another starts blind.

  • Retail stock is counted twice a year.

Product sold at the desk is not reconciled against stock, so the shelf and the system disagree constantly.

  • Packages and memberships are tracked in a notebook.

Prepaid courses of treatment have balances nobody can see, which causes disputes and lost revenue.

  • Rebooking only happens when the stylist remembers.

The best moment to book the next appointment is at the desk, and nothing prompts it.

Software capabilities

Bookings that account for staff, rooms and services

01

Service-aware scheduling

Model treatment duration, processing time, cleanup buffers and the staff skills each service needs. Reserve shared rooms or equipment independently of the practitioner. Avoid overlapping bookings that look possible on a simple calendar.

02

Client records and repeat visits

Keep nonmedical service preferences, previous appointments and agreed follow-ups together. Give staff the context for a return visit while separating marketing permission from appointment notifications.

03

Retail and appointment checkout

Connect product sales, appointment balances and stock movements to the POS and processor. Refunds and canceled appointments need separate actions so reversing a service does not accidentally restore consumed retail inventory.

Integration

Systems we connect to

Identify the system of record, available interfaces and vendor access before defining the integration scope.

Resource based bookingPractitioner, room, chair and equipment treated as separate resources, with availability as the intersection of all required ones.

Point of saleTreatments and retail on one transaction, with stock movements recorded rather than adjusted later.
Packages and membershipsPrepaid courses with visible balances, expiry rules and recurring memberships tied to payment state.
Reminders and depositsConfirmation, reminder and deposit rules per service type, which is the practical answer to no shows.
Commission trackingService and retail commission calculated per staff member from the transaction record.

Security and implementation

Access rules belong in the architecture.

Only assigned staff should see relevant client notes. Record who changed a booking or refunded a payment. Scope is nonmedical beauty and wellness, with payment details handled by the chosen processor.

Security, confidentiality and IP ownership

Relevant technology choices

The final stack depends on existing systems, device requirements and data access.

FAQ

Beauty, Salons and Spas questions

Can a booking reserve a room and a practitioner together?

Yes. The slot is available only when every required resource is free, and the hold covers all of them, so you cannot secure the room and lose the practitioner.

Can we take deposits for high value treatments?

Yes, through your processor, with the slot released automatically if payment does not complete inside the hold window.

Are client formulas and patch tests supported?

Yes, as structured fields on the client record with dates, so a patch test due for renewal can be flagged before the appointment.

Does it handle retail as well as services?

Yes, on one transaction, with stock movements recorded so the shelf and the system stay in agreement.

Can staff see only their own clients?

Access is set by role. A stylist can be limited to their own column and clients, and a manager sees the whole floor.

Do you work with medical aesthetics?

No. We build for non medical beauty, salon and spa businesses. Medical treatment records are outside our scope.

Let’s talk about the system you need.

Tell us where the current process breaks down. We can map the workflow, examine the integration requirements and define a practical scope for the build.

  • A mutual NDA is signed before project details are shared.
  • Scope is fixed in writing before any build starts.
  • You own the source code, the IP and the documentation at delivery.
  • Support plans are available and tailored on a discovery or technical call.
