Software for Restaurants and Hospitality

Margin lives in covers, stock and rota. We build the systems that make all three visible on the same day.

Operations

Operational problems to solve

Common situations to examine during discovery with the people who do the work.

  • Reservations come from four places and one book.

Phone, website, third party platforms and walk ins all compete for the same tables, and the book is reconciled by hand.

  • We find out about food cost at the end of the month.

Purchases and sales live in different systems, so theoretical against actual usage is a monthly surprise rather than a daily control.

  • The rota is built in a spreadsheet and changed by text.

Staffing is scheduled without a live view of forecast covers, leaving managers to adjust shifts after demand changes.

  • Menu changes take a week to reach every channel.

The point of sale, the website, the delivery platforms and the printed menu each hold a copy, and they drift apart.

  • Delivery platform orders are retyped into the till.

Staff rekey tickets during service, which is both slow and exactly when errors are most expensive.

  • Multi site reporting means five exports.

Each venue reports separately, so a group level view is assembled manually every week.

Software capabilities

Join reservations, ordering and front-of-house work

01

Reservation and availability rules

Represent tables, party sizes, seating windows and buffers instead of treating every reservation as a generic calendar event. A waitlist needs a controlled offer and expiry so two parties do not accept the same capacity.

02

Menus, orders and POS handoff

Map menu items, modifiers, availability and location-specific identifiers to the POS. Record accepted, rejected and uncertain submissions. An integration timeout must not trigger a duplicate kitchen order.

03

Guest communication and reporting

Connect confirmation, changes and cancellation notices to reservation state. Report channel activity and operational exceptions by venue. For accommodation, integrate available PMS interfaces without claiming to replace the property’s entire booking infrastructure.

Integration

Systems we connect to

Identify the system of record, available interfaces and vendor access before defining the integration scope.

Systems integrated in Restaurants and Hospitality
POS, point of saleThe transaction record at the counter and the table. We integrate rather than replace, reading sales and writing catalogue where the platform allows.
Reservation managementOne table plan fed by every channel, with covers, turn times, deposits for large parties and no show handling.
Stock and recipe costingPurchases, recipes and sales combined to give theoretical against actual usage, which is where food cost is controlled.
Rota and labourScheduling against forecast covers, with verified hours exported to payroll.
Menu managementOne menu source publishing to the point of sale, the website and delivery platforms, so a change happens once.
Group reportingSales, labour percentage and cost of goods by venue and by day, in one view.

Security and implementation

Access rules belong in the architecture.

Limit access to guest information by venue and responsibility. Use processor-managed payment interfaces and explicit notification permissions. Operational reporting should avoid unnecessary copies of guest identity data.

Security, confidentiality and IP ownership

Relevant technology choices

The final stack depends on existing systems, device requirements and data access.

FAQ

Restaurants and Hospitality questions

Do you replace our point of sale?

No. The point of sale stays. We integrate with it so sales, stock and reporting join up with everything else.

Can reservations from all channels share one table plan?

Yes, where each channel exposes an interface. One plan holds every booking, and availability offered externally reflects the real floor.

Can we see food cost daily rather than monthly?

Yes, once purchases, recipes and sales are in one model. Theoretical usage against actual counts becomes a daily number rather than a month end reconciliation.

Can menus publish to delivery platforms automatically?

Where the platform offers a menu API, yes. Where it does not, the system produces the required file and flags what has changed.

Does it help with rota scheduling?

Yes, against forecast covers, with verified hours feeding payroll so the fortnightly reconciliation disappears.

Does it work across several venues?

Yes, with per venue operation and group level reporting from the same data.

Let’s talk about the system you need.

Tell us where the current process breaks down. We can map the workflow, examine the integration requirements and define a practical scope for the build.

  • A mutual NDA is signed before project details are shared.
  • Scope is fixed in writing before any build starts.
  • You own the source code, the IP and the documentation at delivery.
  • Support plans are available and tailored on a discovery or technical call.
