Business Modernization
We consolidate the spreadsheets, shared inboxes and disconnected tools a business has accumulated into one system, without losing the history or the rules hidden inside them.

The problem
What usually goes wrong
Almost every established operation runs partly on a spreadsheet that one person maintains. It holds pricing rules, a schedule, a customer list, or all three, and it works because that person knows which cells are safe to touch.
It is also the single largest operational risk in the business. It has no audit trail, no validation, no access control and no backup beyond a file name with a date in it.
Modernization is not deleting the spreadsheet. It is extracting the rules inside it, which are usually correct and undocumented, and rebuilding them where they can be enforced.
Scope
What we deliver
Shadow system inventory
Every spreadsheet, form, shared inbox and side tool that carries operational weight, with who maintains it and what breaks without it.
Rule extraction
The pricing logic, eligibility rules, scheduling constraints and exceptions embedded in formulas and habits, written down as specifications.
Consolidated data model
One schema for customers, jobs, items and money, with the constraints the spreadsheet never had.
Migration
Historical data cleaned, deduplicated and imported, with a reconciliation report proving what moved and what did not.
One operational system
The screens that replace the files, built around the sequence people already work in so adoption is not a fight.
Change management support
Documentation and training material written for the people who used the old way, plus a parallel running period.
Method
Technical approach
The extraction phase is the valuable one. A pricing spreadsheet that has been corrected for eight years contains institutional knowledge nobody has written down, including the exceptions. We read the formulas and interview the person who maintains them, then write the rules as a specification you confirm.
Migration is treated as an engineering task with a proof. Records are cleaned, duplicates resolved with a documented rule, and a reconciliation report shows counts and totals on both sides so you can see nothing vanished.
The new system is designed around the existing sequence of work. Changing both the tool and the process at once is how modernization projects fail, so process changes are staged after adoption rather than bundled with it.
Validation moves into the database. The constraint that used to be a note at the top of a tab becomes a check the system enforces, and a report that used to be a manual pivot becomes a query.
A parallel period runs the old and new side by side on real work, with differences reconciled daily, until the numbers agree.

FAQ
Questions people actually ask
We have years of history in these files. Does it come across?
Yes, that is part of the work. History is cleaned, deduplicated and imported, and the reconciliation report shows counts and totals so you can verify it rather than trust it.
What if the spreadsheet rules are wrong?
Some always are, usually in edge cases nobody hit recently. We surface contradictions during extraction and you decide the correct rule before it is implemented.
Will people actually use the new system?
They use it when it is faster than the file for their specific job. That is why the design follows the existing sequence of work, and why a parallel period exists rather than a hard switch.
Can we keep using spreadsheets for analysis?
Yes, and most businesses should. The difference is that the spreadsheet becomes an export rather than the source of truth, so it can be regenerated and never has to be corrected by hand.
Is this the same as buying an off the shelf platform?
No. A platform asks you to adopt its model. Modernization keeps the parts of your model that are the reason you win work and enforces them properly.
How long do we run old and new in parallel?
Until the two agree on the numbers that matter. The exit criteria are written down at the start rather than decided under pressure.
Let’s talk about the system you need.
Tell us where the current process breaks down. We can map the workflow, examine the integration requirements and define a practical scope for the build.
- A mutual NDA is signed before project details are shared.
- Scope is fixed in writing before any build starts.
- You own the source code, the IP and the documentation at delivery.
- Support plans are available and tailored on a discovery or technical call.
