A boarding calendar shows a free place on the arrival date, so the website accepts the reservation. The problem appears later: that space is occupied for part of the requested stay, or it is not appropriate for the animals in the booking. The total number of empty places was never the right availability rule.
Boarding software needs to model capacity over the whole stay and within the business's approved operating constraints. That does not mean letting an algorithm decide animal compatibility. It means preserving the decisions responsible staff make and refusing to turn incomplete information into a confirmed allocation.
A stay occupies an interval
Record arrival and departure with the property's local time and the operational rules for handover. A departure date alone may not establish when a space is available for another arrival. Cleaning, preparation or a late collection can affect the next assignment.
Check availability across the complete interval, not only the first night. If the business allows moving an animal between appropriate spaces during a stay, model that as an explicit approved plan. Do not silently stitch together unrelated gaps and present the result as one continuous allocation.
Keep requested dates separate from confirmed dates while staff review the booking. The customer should know whether they have submitted a request or secured a place. A payment acknowledgement is not a substitute for a capacity confirmation.
Spaces have properties and restrictions
Give each bookable space or capacity group a stable identifier. Record the properties that matter to the operator's allocation process, such as supported occupancy arrangements and any periods when it is unavailable. Maintenance or cleaning closures should remove the relevant capacity without deleting the space's history.
Use the business's documented rules to determine eligible allocations. A flat capacity count cannot express every arrangement, while an overly detailed model can become impossible for staff to maintain. Start with the distinctions that change actual booking decisions and review them with the people responsible for daily care.
If suitability information is incomplete, put the request into review. An unknown value should not automatically mean suitable merely because the software wants to produce an available result.
Household sharing is an explicit decision
Several pets from one household may be allowed to share an appropriate space under the operator's policy. Record the approved group and allocation rather than assuming every pet is either an independent unit or automatically compatible with its household companions.
If one pet is removed from the booking, recalculate the arrangement. A changed group can affect the required space, schedule or staff review. Preserve the previous decision so the operator can see why the allocation changed.
Do not infer compatibility from breed, size or a previous shared booking alone. The system can surface relevant records and require a responsible person's decision. It should not present a software classification as a professional care assessment.
Capacity and admission requirements are different
A suitable space can be available while required records remain outstanding. Track those requirements separately from capacity so staff can tell whether the issue is a missing document, an unresolved review or no appropriate space.
Use the operator's approved admission policy and record its version. Dates and document status can support the workflow, but the application should not interpret clinical information or invent health requirements. Where a professional review is needed, record the result from the authorised process.
Show the customer what remains to be provided without exposing internal notes that are not intended for them. A booking can be provisionally held pending review if the business permits it, with a clear expiry and an explicit rule for release.
Confirm the allocation under concurrency
Two staff members or customers may request the final suitable space at the same time. A browser availability check is only a preview. The server must enforce the actual reservation rule when committing the booking.
For exclusive spaces, prevent conflicting intervals using the appropriate shared data mechanism. For pooled capacity or approved sharing groups, enforce the corresponding quantity and eligibility rules. The implementation should be tested against the real model rather than borrowing a single room example that cannot represent the business.
If confirmation fails because capacity changed, preserve the request and explain the next options. Do not charge again, invent a different space or quietly change the requested dates without approval.
Date changes need a complete reassessment
A longer stay may overlap another reservation even if the existing booking is valid. A shorter stay may release capacity but leave related pickup instructions or payment schedule items needing adjustment. Treat a date change as an operation that checks all affected dependencies.
Use a version check so an old customer portal screen cannot overwrite a staff adjustment made moments earlier. If review is required, show the proposed change separately from the current confirmed arrangement until it is approved.
Keep notifications aligned with the committed result. A message about an approved extension must not be sent before the system has secured the extra capacity. If notification delivery fails, the booking remains confirmed but staff need a visible communication exception.
Test a crowded period, not an empty calendar
Build an acceptance scenario with overlapping stays, one closed space, a shared household group and an admission review still pending. Ask staff to allocate the requests and explain why each is confirmed, held or declined.
Then change an arrival time and extend one stay while another request is being confirmed. Verify that capacity remains valid and every screen describes the same commitment. The useful result is not the largest number of accepted bookings. It is a schedule the operator can carry out under the rules they have actually approved.
